ROOM 43 EVENT SPACE ~ TERMS OF USE

 

Located in North Kenwood, ROOM43’s main event space features an impressive entrance that welcomes guests into an open and airy space. The intimate yet spacious historic features are both industrial and elegant, highlighted by exposed brick, heavy timber columns, and hardwood floors. It features a stunning lower level with sizable prep kitchen. The space makes the perfect backdrop for corporate events, retail pop-ups, holiday parties, weddings, rehearsal dinners, engagement parties, non-profit events, and many other celebrations. PRICING AND DETAILS:

Suite 1 (bi-level):

Rent for 6 hours at the cost $2,000 plus $250 for each additional hour. The maximum capacity is 299 attendees combined for both level. This includes maximum capacity of 187 attendees for the upper level and 112 attendees for the lower level. 

 

Suite 2 (bi-level):

Rent for 6 hour at the cost of $1,000 plus $250 for each additional hour. The maximum capacity is 145 attendees for both levels.  This includes maximum capacity of 80 attendees for the upper level and 65 attendees for the lower level. 

 

With no exceptions all suites must be cleared (including all event guest & cleanup) by 12am Sunday thru Thursday and 2am Friday and Saturday. We recommend that Client end the event and start the cleanup process 1 hour prior to mandatory closing time.  

 

Please Note: 

Clients are responsible for all creative productions including any and all, decorations, linens, music/DJs, bar requests and catering.  Nothing permanently attached to the Venue and all candles must be in votives.

Regarding Catering: ROOM43 allows the Client to arrange for their own licensed catering;

10% of the Client’s catering invoice is required and will be added to the Venue Agreement.

/ Use of available 60" round tables

/ Use of available chairs for up to 150 guests

/ Use of available upholstered lounge furniture (cleaning fee applies)

/ One cash bar and one bartender (see Bar & beverage Package)

 

VENUE RENTAL EXTRAS

CONFIRMATION AND DEPOSIT AND CANCELLATION

 

A 50% deposit of the Venue Rental and signed Venue Agreement is required in order to confirm an event date. 

 

Payments should be made payable to:

Acceptable forms of payment are:

Mastercard, Visa, Discover, American Express, Cash, Personal Checks, Money Orders, Cashier’s Checks and 

all digital payments (Apple Pay, Square and Paypal).

 

Please Note:

All DEPOSITS are nonrefundable, relating to a breach of the Venue Agreement Conditions and nontransferable due to cancellation.  

 

CANCELLATION(s) must be requested within 30 days prior to the scheduled event date and can be rescheduled for an available date within 60 days of the cancellation date.

 

FINAL PAYMENT

 

The remaining Venue Agreement balance must be received two weeks prior to the event.  Failure to comply can result in cancellation of the event. 

 

 

VENUE ACCESS AND CLEANING 

 

The standard event package includes six hours for the event including cleanup.

 

Clients are responsible of leaving the Venue in a reasonable state of cleanliness. Including making sure all catering, musical, or other equipment has been cleaned and removed from the Venue.

 

We will allow two hours prior to the event for set up. All events must be fully vacated by the time stipulated within the Venue agreement.

VENUE RENTALS / EVENTS MUST END BY 

 

With no exceptions all suites must be cleared (including all event guest & cleanup) by 12am Sunday thru Thursday and 2am Friday and Saturday.  We recommend that Client end the event and start the cleanup process 1 hour prior to mandatory closing time.

 

Please Note:

Any event that goes over 15 minutes will be charged ($250 for the hour) and must be paid on the day of the event.  

 

  

SPECIAL REQUESTS

 

All special requests must be discussed, added to the Venue Agreement and finalized two weeks prior to the event; including room layout, catering and bar requests. 

 

 

CATERING

 

ROOM43 allows the Client to arrange for their own licensed catering. 

10% of the Client’s catering invoice is required and will be added to the Venue Agreement.

 

Please Note: 

There is a small preparation kitchen in the lower level of both Suites 1 and 2 including: refrigerator, microwave and ice machine.   All heating equipment, flatware, napkins, plates, etc., needs to be supplied by Client and/or caterer.

 

BEVERAGES

 

No outside alcohol or non-alcoholic beverages of any kind are permitted on the premises including but not limited to water, soda, punch or iced tea etc. ROOM43 holds a liquor license and will provide all alcohol and non-alcohol beverages needs. Please refer to the Bar and Beverage Packages for pricing.

 

 

SMOKING

 

Smoking is NOT permitted anywhere within the Venue.

 

 

PUBLIC LIABILITY

 

Norflo Holding Corporation has a current Public Liability Insurance policy, which will cover the value of $1,000,000.  

 

Please Note:

Client must to ensure that all vendors contracted for the event can furnish proof of Public Liability Insurance.

 

 

LOSS OR DAMAGES

 

ROOM43 will not assume or accept any responsibility for damage to or loss of personal items/merchandise, injuries or liabilities by Client, caterers or guests of the Client.  The Client is responsible for reimbursement of replacement costs for damage to any items or objects, within or affixed to the Venue that any guests of the Client breaks or damages belonging to ROOM43.  Lost and found items will be kept at ROOM43 for 7 days.

 

 

SECURITY

 

/ All events require one security guard per 100 guests. 

/ Event Security provided by ROOM43 at a rate of $20 per hour (4 hour minimum)

 

 

DELIVERIES AND SET-UP

 

All deliveries must be discussed with and pre-arranged through ROOM43, as well as all deliveries being kept to the day of the event unless prior arrangements have been made.

UNFORESEEN CIRCUMSTANCES

 

In the event of ROOM43’s inability to comply with any of the provisions of this Venue Agreement by virtue of any interruption of electricity or gas supplies, equipment failure, disruptive acts of nature, other unforeseen contingency or accident, ROOM43 reserves the right to cancel any booking or refund any deposit, with no further liability to ROOM43 or their vendors.

 

 

MARKETING AND PROMOTIONS

 

The content of all printed materials relating to the event, including invitation copy, programs, promotional materials, press releases social media and radio advertisements must be submitted to ROOM43 for review and approval before being produced and advertised.

What do I need to do to book the Venue?

Once you have summited the online Request Form, a representatives will contact you to discuss and schedule a tour of room43. 

 

Please Note:  

A 50% deposit is required in order to secure your desired date.

 

 

Can I bring in my own bartenders and/or alcohol?

NO.  ROOM43 holds a liquor license and will provide all alcohol and non-alcohol beverages.

Can I bring in my own caterer?

ROOM43 allows the Client to arrange for “their own” licensed catering; however an approved vendors list is available for review (see approved vendors list).  10% of the Client’s catering invoice is required and will be added to the Venue Agreement.

Can I put a hold on a date?

YES.  A 50% deposit of the Venue Rental and signed Venue Agreement is required in order to confirm an event date. 

 

 

What are the decoration limitations?

You are welcome to decorate the Venue to fit your needs with any decorations that can be removed without any harm to the Venue. Nothing permanently attached to the Venue and all candles must be in votives.  Clients are responsible for all creative productions including any and all, decorations, linens, music/DJs, bar requests and catering. What if I need to cancel the event, can I get a refund?
